Updated Requirements to Receive a Commission Letter

February 2025: 

As we transition into Spring, our review team needs your cooperation to ensure a smooth and efficient workflow. Maintaining a steady process helps us keep up with file processing and avoid unnecessary delays. When a file is not fully prepared for review, it stops and starts in the process, consumes valuable time, and hinders our ability to complete reviews promptly.
To improve efficiency and minimize disruptions, please adhere to the following requirements before submitting a file for review.

FILE READY – THREE TASKS:

1. Complete Commission Instructions – Ensure that your commission instructions are fully entered in the Edit File section. This includes notating any referrals paid.

2. Accurate Contact Information – All parties, including title contacts, must have complete and accurate information entered. This includes the title or escrow closer’s name and email address and any referral company information.

3. Confirm File Readiness – Indicate that your file is ready for review by selecting the appropriate option from the dropdown in your Edit Screen. Your file must include the Mandatory 5 required documents before submission.

By following these updated requirements, you help streamline our workflow and enable us to process files more efficiently. Your attention to these details is greatly appreciated. For Reference these are the changes that were instituted in July 2024, so that your commission letters are not delayed.

1.  New field in Paperless Pipeline – “CDA Ready-Revised CDA-Close Date Change”

Inform us with this field, that your file is ready for a commission letter or a CDA.  Also use it to ask us for a CDA revision, or update us on your closing date.

Vital things to know about using this feature:  

  • If you do not mark this field properly, your file will NOT enter our queue for receiving your CDA.  See instructions below and call Agent Support if you need assistance.
  • If you mark CDA Ready before you have your Mandatory Big 5 documents, it cannot be completed and that field will be changed to “Documentation Needed”
  • If you uploaded that needed documentation, you will need to select “CDA Ready” again or it will NOT be seen by our Review Team.
  • If you request a revision, you must explain the revision in the NOTES FIELD next to the request field.  It is always helpful if you also mention the document that supports the revision.
  • If you use this for a Close Date Change and still need a CDA, you must mark “CDA Ready” in order for your file to go into our queue.

2.  You must enter your title company as a contact with contact information

This information allows us to send your CDA to your title company directly once it is issued.  It also allows us to contact your title company, if necessary, once the funds arrive for any remaining questions.  If for any reason, the title company did not receive your CDA and you need to access it after it is issued, you can find it in your transaction file Sale Documents with the document name “OTHER: CDA – 1”

3.   You must complete all the known fields under “Other Information” & “Buyer, Seller, Pricing, etc”

These fields serve as your closing instructions.  We create your Commission Letter from this information as long as the supporting documents are in your file.

  • Complete your known fields and find the CDA Ready field from the ‘Edit Transaction’ tab in top, left column.
  • Add your contacts from the ‘View Transaction‘ tab in top, left column.
